Who may hold an account

Three kinds of account are planned. An individual account belongs to one person and describes that person's own work. An institutional account belongs to a university, employer, funder or programme, and is held by a named member of staff acting for it. A partner account belongs to an organisation working with YoureNX on discovery, verification or placement.

You may hold an individual account if you are at least eighteen years old, or old enough to enter a binding agreement where you live, whichever is higher. Younger people are often exactly the people YoureNX exists to find, so a route for them is planned rather than closed off — it will need a guardian's involvement and a narrower record, and it is one of the parts of this draft counsel must design before launch. Until then, no account may be opened for a minor.

An account is personal to the holder. Do not share credentials, and do not open an account in someone else's name. If you open an institutional or partner account, you are confirming that you are authorised by that organisation to act for it. One person, one record: duplicate accounts describing the same person will be merged into the earliest.

Accurate information

YoureNX is only useful if what it says is true. Everything you put on the record must be accurate at the moment you enter it, and you are responsible for correcting it when it stops being accurate. That includes the ordinary things — a role that ended, a qualification not completed, a paper withdrawn — and it includes the flattering things.

Overstatement is the failure this platform is built to resist, so it is treated as a breach rather than as enthusiasm. Claiming a degree you did not finish, a title you did not hold, authorship you did not have, or funding you did not receive is a breach of these terms whether or not anyone relied on it.

Where a claim cannot be checked, YoureNX intends to show it as unverified rather than remove it. An unverified claim is not an accusation; it is an honest description of what is known. Do not present an unverified claim as a verified one when you write to institutions off the platform.

Evidence, permission and verification

A record is assembled from evidence. When you attach evidence — a document, a link, a dataset, a certificate, a letter — you are telling us three things: that you have the right to share it, that sharing it with YoureNX and with the institutions you choose breaks no duty you owe anyone else, and that it has not been altered to say something it did not say.

You keep ownership of your evidence. You give YoureNX permission to store it, to show it to the people you have chosen to show it to, and to describe what it establishes. That permission is limited to running the service and lasts while the evidence is on your record. It is not a transfer, and it is not a licence to publish your material elsewhere.

Some evidence names other people: a co-author, a supervisor, a colleague, a referee. Only attach material about someone else where you are entitled to, and expect that a named referee will be told they have been named. Where evidence is confidential to an employer or funder, get their agreement before it goes on a record — YoureNX cannot give you that agreement and will not assume you have it.

Verification means a person or a system checked a claim against a source and recorded what they found. It is a statement about the evidence, not a judgement about you, and it can be revisited if better evidence appears. Nothing about verification implies that YoureNX endorses, recommends or vouches for you to anyone.

Acceptable use

Use YoureNX to describe real work and to find real people. In particular, do not:

• fabricate a record, an identity, an affiliation or a piece of evidence;
• nominate someone in order to harass, expose or embarrass them;
• copy records out of the platform to build a competing database, or scrape it by any automated means we have not agreed to in writing;
• use a record to make a decision the law does not allow you to make on that basis, or to discriminate against the person it describes;
• approach a person through YoureNX for anything other than the opportunity you said you were offering;
• attempt to reach data that is not yours, interfere with the service, or test its security without our written agreement;
• hold yourself out as speaking for YoureNX, or imply that YoureNX has endorsed you or your organisation.

Institutions and partners carry one duty beyond this list. What you learn about a person through YoureNX may be used to consider them for the opportunity in front of you, and not resold, syndicated or added to a profile you keep about them elsewhere. You must also abide by the law that governs your own hiring, admissions or funding decisions; YoureNX does not displace it and cannot advise you on it.

Suspension and termination

You may close your account at any time. Closing it withdraws your record from discovery and ends the permissions you granted, apart from anything a law or an unresolved dispute requires us to keep. The Privacy Notice covers what is kept after closure and for how long.

YoureNX may suspend an account where there is a credible reason to believe a record is false, a nomination was made to cause harm, an institution has misused what it learned, or the security of the platform is at risk. Suspension is meant to be reversible and short. The intention is to tell you what triggered it, in specific terms, and to let you answer before anything becomes permanent — the wording that binds us to that is one of the clauses counsel must finish.

An account may be closed permanently for a serious or repeated breach: fabricated evidence, a fabricated identity, or the deliberate misuse of another person's record. A record removed for fabrication is not quietly deleted — where an institution relied on it, YoureNX intends to tell that institution the record was withdrawn, without speculating about why beyond what was established.

Intellectual property

Your work is yours. Nothing here transfers ownership of your research, your writing, your code, your designs or the documents you attach as evidence. What you grant is the permission described above, for as long as the material sits on your record.

The platform is ours: the YoureNX name and mark, the interface, the way records are structured, the verification method, and the text of this site. You may quote from your own record freely and link to YoureNX without asking. You may not reproduce the platform, the mark, or the structure of the record for another product.

If you believe something on YoureNX infringes your rights, write to us at the address below with enough detail to find it and to understand the claim. Material that appears to infringe may be taken down while it is examined, and put back if the claim does not hold.

Service availability

YoureNX is being built. What you are reading now is a design preview: the pages describe an intended service, and the forms on them do not connect to one. Registration is not open, no record exists yet, and nothing entered into a preview form is received by us. Each such page says so where the form appears.

When the service does run, expect it to change. Features will be added, moved and withdrawn, and there will be planned interruptions for maintenance and unplanned ones for failure. No promise of continuous availability is made here, and no uptime figure is quoted, because there is no operating history to base one on.

If YoureNX is ever discontinued, the intention is to give notice and a way to export your record and your evidence before access ends. Committing to a specific notice period is a decision for counsel.

Liability, reserved for counsel

A limitation of liability clause belongs here. It is deliberately not drafted. Copying a standard limitation from another company's terms is how businesses end up promising less than they mean and relying on wording they have never read, and this is the clause where that costs a user the most.

What can be said plainly now, ahead of that drafting, is the shape of the risk. YoureNX assembles and presents evidence about people; it does not employ, admit, fund or select anyone. A decision made about a person remains the decision of the institution that made it. Where YoureNX gets something wrong — a verification recorded against the wrong record, evidence shown to someone who should not have seen it — the fix is ours to make and the harm is ours to answer for, and the limits of that answer are what counsel will set.

Nothing in the eventual clause will attempt to exclude a liability that the law does not allow to be excluded.

Changes to these terms

These terms will change, and this draft will be replaced entirely once it has been reviewed. Every version carries the stamp at the top of this page, so you can tell which one you read.

For a change that affects your rights or what you have agreed to, the intention is to show it to you before it takes effect rather than to rely on your noticing this page had been edited, and to keep the previous version readable so the two can be compared. For a correction that changes nothing material — a broken link, a clumsy sentence — the stamp will be updated and no notice given.

If you do not accept a change, closing your account is the remedy. No change will be applied retroactively to something that already happened on your record.
